This Privacy Policy explains how we collect, use, and safeguard data when you use our website (hireind.ai), mobile application, and AI communication services (collectively, the "Service").

1. INFORMATION WE COLLECT

We collect information in three categories:

A. Account Information (You)

  • Identity: Name, business name, email address, and phone number.
  • Billing: Payment method details (processed via Stripe; we do not store full credit card numbers).
  • Business Rules: Information you provide to train your AI Agent (e.g., pricing, hours, PDFs, operational knowledge).

B. Usage Data (Your Activity)

Log files, device type, IP address, and how you interact with our dashboard and mobile app.

C. End Customer Data (Your Clients)

  • Communication Data: To provide the Service, we process Voice Recordings, SMS text logs, and Transcripts of interactions between your AI Agent and your End Customers.
  • Contact Lists: If you grant access, we sync contact names and numbers from your mobile device or uploaded files to identify callers.

2. HOW WE USE YOUR INFORMATION

We use this data strictly to provide and improve the Service:

  • Service Delivery: To answer calls, send SMS, and book appointments on your behalf.
  • AI Processing: Voice and text data are processed by our AI providers (LLMs) to generate intelligent responses. We do not sell your customer data to third parties for advertising.
  • Compliance: To verify your business identity for carrier regulations (A2P 10DLC, WhatsApp Business API).
  • Improvement: Anonymized data may be used to improve the accuracy of our conversational models.

3. DATA SHARING & SUB-PROCESSORS

We share data only with the essential infrastructure providers required to run the Service:

  • Telephony Providers: (e.g., Twilio) To transmit calls and SMS.
  • AI Providers: To generate conversational responses.
  • Cloud Hosting: (e.g., AWS/Google Cloud) To securely store databases and assets.
  • Payment Processors: (e.g., Stripe) To handle subscriptions.

We will not share your data with law enforcement unless compelled by a court order or valid legal process.

4. VOICE & SMS CONSENT (IMPORTANT)

Your Responsibility: As the user of the Service, you acknowledge that you are responsible for complying with all applicable laws regarding call recording and SMS consent (e.g., TCPA in the US). You agree to obtain necessary consent from your End Customers before allowing the AI Agent to interact with them.

5. DATA RETENTION & DELETION

Retention: We retain call logs and transcripts for as long as your account is active to allow you to review business history.

Deletion: You may request the deletion of your account and all associated data at any time via the "Settings" tab in the Web Portal. Upon termination, data is permanently purged from our active systems within 30 days.

6. SECURITY ARCHITECTURE (AUDIT SUMMARY)

Our platform is built on a "Zero-Trust" architecture designed to minimize data exposure. Key security protocols include:

  • Client Isolation (Air-Gap): The mobile/web client is a "blind terminal." It never accesses raw API keys or sensitive credentials. All logic is executed in a secure server-side environment.
  • Ephemeral Vault: Sensitive data (e.g., integration keys) is decrypted only for the millisecond it is needed in system memory, then immediately wiped. We do not store "hot" secrets in persistent logs.
  • Input Sanitization: All AI inputs pass through a "Logic Core" filter to prevent prompt injection and unauthorized commands.
  • Blind Pipe Protocol: Voice data is streamed directly to processing providers without being stored in our intermediary servers, ensuring maximum privacy.

We implement industry-standard security measures, including encryption in transit (TLS) and at rest. However, no method of transmission over the Internet is 100% secure.

7. CHILDREN'S PRIVACY

Our Service is a business tool intended for use by adults. We do not knowingly collect data from children under the age of 13.
